Conference Booking Terms

Conference and Banqueting Terms and Conditions

1.         Prices

All prices quoted are inclusive of VAT, unless otherwise stated and may be subject to alteration without prior notice.

2.            Numbers attending your event

a.  Please provide provisional numbers at time of booking.  The Hotel reserves the right to agree a minimum number to be charged for the event at this time.

b.  The Hotel reserves the right to change a designated room, after appropriate consultation if the agreed minimum numbers are not to attend the event.  The minimum charge agreed will still apply.

c.  The final numbers must be notified at least 48 hours prior to the event.  This is the number that will be charged provided that it exceeds any agreed minimum charge.

3.            Payment

a.  Please confirm payment method when booking your event.  The Hotel reserves the right to cancel an event without obligation if payment details are not provided as requested.

b.  Functions and private events must be accompanied by a deposit when the booking is made and full pre-payment at least 14 days prior to the event.

c.  Commercial clients may request credit facilities by completing a credit application form and returning it to the Hotel at least 7 days prior to the event.
Completion of a credit application form does not warrant the granting of credit and the client will be notified of the result of the application.

4.            Cancellation by the Hotel

The Hotel may cancel the booking at any time and without obligation to the client in any of the following circumstances:

a.  If the Hotel, or any part of it, is closed due to fire, alteration or re-decoration by order of any Public Authority, or otherwise through any reason beyond the Hotel’s control.

b.  If the client becomes insolvent or enters into bankruptcy, liquidation or receivership.

c.  If the client is more than 28 days in arrears with any payment due under his contract.

d.  If the Hotel, in its sole discretion, believes the event or the client might prejudice the reputation of the Hotel.

5.            Cancellation by the client

With respect to the above, the client shall pay to the Hotel the following percentages of the estimated event cost:

a.  If cancellation occurs 1-4 weeks before the event, 50% of estimated event cost.

b.  If cancellation occurs less than 7 working days before the event, 100% of estimated event cost.

No charge will be made in the following circumstances:

a.  If cancellation occurs up to 4 weeks before the event.

b.  If cancellation occurs up to 7 working days before any event when the booking was made within 2 weeks prior to the event.

c.  If, in the opinion of the Hotel, the venue can be re-sold for the same date(s), 25% of the cancellation penalty will be credited to a re-booked event.

6.             Client’s use of the Hotel  

The client and persons attending the event shall:

a.  Not carry out any electrical or other works including amplification and lighting at the Hotel nor introduce hazardous or dangerous items, without the Hotel’s prior consent.

b.  Comply with the licensing and other regulations relating to the Hotel.

c.  Not affix any material of any kind to any floors, walls or ceilings without prior written consent from the Hotel.
